Turning a Lead Export Into a Working Excel Pipeline

Your export is not a pipeline until it is sorted. A simple Excel setup that turns a raw lead file into a prioritised dial queue in about ten minutes.

Most teams export a lead list, open it, look at 40 columns and close it again. Ten minutes of structure turns that file into a queue a rep can work top to bottom without thinking.

Keep nine columns, hide the rest

  • Company, City, Phone β€” the dialing essentials.
  • Contact name, Title, Decision maker β€” who you ask for.
  • Email, LinkedIn β€” the follow-up channels.
  • Owner (rep name) β€” the collision guard.

Everything else β€” revenue bands, categories, source URLs β€” stays in the file but gets hidden. Reps make better decisions with fewer columns in front of them.

Build the dial queue

  1. 1Sort by Decision maker descending, so named authority sits at the top.
  2. 2Then sort by City, so a rep works one geography per session and the local references stay accurate.
  3. 3Add a Status column with a short validation list: New, Attempted, Connected, Meeting, Dead.
  4. 4Freeze the header row and turn on filters. That is the whole setup.

Deduplicate without losing rows

Deduplicate on phone number rather than company name, because the same business often appears under multiple DBAs. Use conditional formatting to highlight duplicates first and review them before deleting β€” merging two partial records usually beats discarding one.

Then get it out of Excel

Excel is the right place to triage a list and the wrong place to run a pipeline. Once the queue is sorted and owned, import it into your CRM β€” the export keeps every field in its own column, so the mapping step takes seconds β€” and let the spreadsheet go back to being an archive.
